Volunteers are a vital part of the successful operation of our school. PTA membership is only required if a volunteer is holding an elected, board, chair, or committee position. General school volunteers are not required, but are encouraged to be PTA members!
Listed below are all our committees/events that the PTA handles at Weatherstone (did you think we just did bake sales?). Each will have a brief description and will list what the chair of those committees is responsible for and the chair's estimated time commitment.
You do not need to be a chair to be involved! Within each committee there are smaller jobs with lower time committement and even jobs that can be done at home whenever you choose to do them! We can make it work for you, so find a group that piques your interest!

Green= Low time commitment for the chair, typically a few hours and these committees typically don't need extra committee members.
Yellow=Medium time committment for the chair (primarily during the event day) with some admin done leading up to the event.
Orange=Large time committment for chair, may be year round or medium time commitment around the event.
Red=Heavier time commitment for chair, may be year round or a heavy week or two around the event.
Time Commitment: ~5-8 hours per week.
Preside at all PTA meetings (Membership & Board of Director).
Serve as a spokesperson for the PTA.
With approval of the executive committee, make one-year appointments to positions/committees as specified in the Standing Rules.
Work closely with the school principal and staff.
Disseminate/communicate all information received pertinent to PTA purposes and programs via monthly newsletter and Explorer Express.
Attend required PTA training & track training of executive committee.
Assure yearly deadlines are being met (list is published annually by State PTA).
Ensure local PTA representation at council meetings.
Oversee and assign committees to Vice President(s) to oversee
Time Commitment: ~1-10 hours per week.
Attends monthly PTA membership and Board of Directors meetings

Finding and approaching local business to obtain sponsorship packages.
Assist President with following up with committee chairs and other duties agreed upon including the following committees at this time: Sponsorships, Boosterthon Fun Run, Coin Wars, Spirit Wear, Membership, Social Media, STEM Expo, Room Parent Coordinator, and Yearbook.
Time Commitment: ~1-3 hours per week.
Ideal skills/qualities: basic bookkeeping experience recommended but not required, basic understanding of Excel or Quickbooks(or similar),
Attend monthly membership and Board of Directors meetings.
Assist the audit committee by submitting monthly records for review.
Maintain accurate financial records.
Make deposits at the bank and withdrawl cash for events
Issue checks for payment & reimbursement from approved PTA budget.
Close the books at the end of the fiscal year (June 30th) and submit them for financial review to the Audit Committee.
File state and national tax reports and biannual sale tax refund requests.
Renew financial related subscriptions/permits/insurance as needed.
Attend required NCPTA annual training.
Time Commitment: ~1-3 hours per week.
Attend monthly Board of Directors meetings and general PTA meetings (3).
Prepare accurate minutes of all membership meetings and board of directors meetings and upload to Givebacks account.
Maintain minutes and document notebook.
Maintain a roster of membership (including all standing and special committees).
Assist the President with meeting schedule and meeting announcements to members.
Attend annual PTA training.
Currently (but not traditionally) overseeing and coordinating hospitality and teacher event committees
Chair time commitment: ~1-3 hours per month, primarily at home, but as part of the board will come to a monthly 1 hour meeting in person or online.
The audit committee is composed of 3 members. Individuals with authorization to execute financial transactions, and their family members may not serve on the audit committee, nor may the outgoing or incoming treasurer. (No financial or CPA background required)
Conduct monthly reviews of Weatherstone PTA bank statements and supporting documents/receipts.
Conduct a financial review if a financial officer leaves office during their term.
Conduct the year end financial review checklist and submit on Givebacks to NCPTA by August 31st.
Audit chair will attend monthly board meetings and required yearly NCPTA trainings and submit a yearly plan of work to the board.
Chair time commitment: ~1-2 hours per month, primarily at home, but as part of the board will come to a monthly 1 hour meeting in person or online.
The Advocacy committee promotes advocacy on behalf of children and family engagement by updating the school community via website or other means on current activities, legislation, and programs that affect our children.
The Advocacy chair will choose one topic to focus on and present a seminar to the school body to help improve the lives and well being of our children.
The Advocacy chair will attend monthly board meetings and required yearly NCPTA trainings and submit a yearly plan of work to the board.
Chair time commitment: ~1-2 hours per month, primarily at home, but as part of the board will come to a monthly 1 hour meeting in person or online.
Throughout the year, the nominating committee is tasked with identifying talented, motivated, and responsible individuals to serve as future officers of the Weatherstone PTA. (Comprised of at least 3 people - 2 board members an 1 non board member)
The nominating committee shall nominate a slate of eligible candidates for officer election every two years or as vacancies arise.
The Nominating chair will attend monthly board meetings and required yearly NCPTA trainings and submit a yearly plan of work to the board.
*Time commitment will increase biannually closer to elections
Once in the Fall and once in the Spring, volunteers come together to do some outdoor maintenance at the school. Typically held on Saturdays from 9:00am- 12:00pm.
Chair time commitment: ~4-5 hours per each clean-up date, one Saturday in Fall and one Saturday in the Spring from 9am-12pm.
Coordinate dates and times for each Campus Clean-Up Day (one in Fall, and one in Spring), with the PTA President and Principal
Create a Sign-Up Genius for volunteers and request the volunteers to bring any yard work equipment required and trucks
Creates promotion and volunteer SignupGenius for Givebacks, social media, PTA newsletter, and the explorer express
Coordinate with different volunteer groups ie local churches and colleges to help increase numbers of helpers and show up to coordinate work
Plan with Principal what will be worked on and order Wake County mulch via Principal several weeks in advance
This committee ensures non-teacher staff members get recognized throughout the year for their hard work and commitment to our school. Includes data manager day, OT appreciation day, speech pathologist day, etc.
Chair time commitment: ~1-3 hours per month throughout the year.
Working within the budget set by the PTA for the fiscal year, plans out appreciation days for non-teaching staff.
Sets up donation page on givebacks for Mr. Jerry day and Bus Driver/Crossing Guard appreciation weeks.
Writes thank you notes, along with small gifts to various staff during their national appreciation days and drops off at the school.
Our school is lucky to have a beautiful garden of raised beds, providing our kids with access to an environment where they can learn about plants, food, gardening, and so much more!
Chair time commitment: ~flexible and dependent on the chair's availability, a little time each month.
Work with the edible garder teacher lead to create a planting plan for Fall and Spring
Plan, organize, and execute a garden clean up, usually twice a year, requesting volunteers to help (using a SignupGenius) --can coordinate with campus clean up.
Create a watering schedule sign up (for volunteers to water the garden during summer or school other breaks)
Speak with vendors/businesses about donations, or reduced cost for soil, mulch, seeds, plants, and other garden supplies.
Keep garden expenses /expenditures within the edible garden budget
Coordinate with WES teachers regarding specific grade planting beds for their educational purposes.
The same field day you remember as a kid! A day for kids to participate in outdoor, silly games and races and let steam off after a year of hard work!
Chair time commitment: ~2-4 hours prior to the event and 8 hours day of event, which is typically a Friday late April or early May.
Helps the physical education staff with coordinating volunteers, equipment, and supplies.
Setup volunteer tent on the day of the event to help coordinate volunteers at all stations.
Coordinate to have speakers/volunteer dj play music for the event
Buy freezer pops via PTA field day budget for kids and coordinate with cafeteria staff to freeze in the week prior.
Buy water, gatorade, and pizza via PTA field day budget for volunteers.
Conducts a membership drive in the Fall to recruit new members and remind old members to rejoin. Continues these efforts throughout the year at various events.
Chair time commitment: ~4-5 hours during summer planning, ~1-2 hours a month after that during events (not every month).
Welcomes new families/households during WES events and at various times throughout the year.
Provides membership information in person events as needed.
Assist with recruitment of potential volunteers.
Creates programs and incentives to join throughout the year.
Manages the Givebacks database and official membership roster of current PTA members.
SIT works with WES Administration and teachers to plan and coordinate improvements of the campus. Typically require one parent or PTA member to lend their ideas.
Chair time commitment: ~1 hour a month, SIT meetings are held one morning (usually 8:00 AM) per month.
The spirit rock is our big boulder outside of the school that we use to celebrate birthdays and events. 100% of funds go directly to the PTA to be put back in the school.
Chair time commitment: ~1 hour a month of online admin, painting the rock takes several hours each time if you do it.
The booking system is fairly streamlined, chair would need to manage any emails sent by family with questions.
When a booking is made, the chair will check to make sure the design is appropriate and that the payment has been made in Givebacks.
Plan with WES Building Manager, Jerry, to power-wash the rock at least once a year (preferably at the beginning of August)
*NOTE: If you love art, you're welcome to paint the rock at the beginning of the school year and again for the summer/5th grade graduation.
Walk, Bike and Roll to school day is a National annual event to encourage wellness and non-motorized transportation to all kids in the school. In addition to promoting healthy habits, it also helps kids learn safety rules and tips for walking a biking.
Chair time commitment: ~4-5 hours online work and 1-2 hours day of event in early October.

Coordinates with Glenkirk HOA to use their community center parking lot as our gathering point.
Coordinate with Mr. Jerry to hang the school banner prior to event.
Day of event handing out prizes, playing music, and directing kids/families.
Creates promotion for Givebacks, social media, PTA newsletter, flyers, and EE .
One of our annual, smaller fundraisers where we invite kids to bring in loose change for a week. Some coins/dollars are worth positive points and some are worth negative points. Kids choose where to distribute their coins and the grade at the end of the week with the most points wins the championship title/trophy for the year!
Chair time commitment: ~8-9 hours total, primarily the AMs of the event held typically in February.
Plans rules and distribute promotions for social media, PTA newsletter, Explorer Express etc.
Makes a poster of the rules to display during the week of Coin Wars.
Counts each grade's tub immediately after school starts (bell rings) and keep a tally of each grade's totals each day during the week
Gives reception the grade's positions to announce each day at dismissal and final winner at the end of the week
Fill out deposit form each day for PTA Treasurer and leave with money to deposit in the PTA Safe
Two people are necessary for this position. Must be available to be at the school starting at 8:30am M-F during the PW week. Does not have to be the same two people, typically done by 10:00 am depending on how long money counting takes.
This event is for Kindergarten and First Grade and is a half day of fun with Cary Police, Cary Fire Dept., EMS, TOC Traffic, TOC Waste Management, TOC Public Works, and Cary Animal Control coming to WES. Kids get a chance to learn more about these jobs that help our community run smoothly and have a chance to explore the fun vehicles they use.
Chair time commitment: ~4-6 hours primarily at home emailing/coodinationg, then 4 hours for event morning itself in October.
Contact community helpers for their availability and confirmation of attending the event.
Create a sign up requesting K and 1st grade parent/caregiver volunteers for the day of the event.
Create a sign up requesting donations (from K and 1st grade parents/ caregivers) for food, drink, and other supplies for the day of the event or request in kind food donations for the volunteers (primarily the community helpers).
Coordinate with K and 1st grade lead teachers a time frame for each grade to be with the community helpers.
Assign each K and 1st grade class a community helper group to write thank you notes/cards.
Organize and participate in the set up, running, and break down the of the event.
This committee works to provides culturally educational programs that enhance curriculum throughout the school year. Some will be grade specific, others will be in the form of school wide assemblies.
Chair time commitment: ~6-8 hours during the summer for Expo and training and then typically 1 hour a month or less after.
Collaborate with WES cultural art staff representative to determine cultural arts programming needs for our school. Typically an artist in residence, an author in residence, and 1-2 performance groups.
Attend the United Artists In School's Expo in August - REQUIRED FOR UNITED ARTS COUNCIL GRANT ELIGIBILITY. While there note artists you think will be a good fit for our school and budget. Typically at Enloe Highschool.
Attend one of the United Artitst Council's online training sessions in August. Then submit the annual application and participation fee to United Arts in September with Treasurer.
Submit completed contract(s) for each artist and payment to the United Arts Council by the published deadline with the Treasurer.
Communicate program information to WES administration, teachers, and website.
Facilitate activities on event day(s) on an as needed basis
International Night is our annual celebration of the multitude of cultures we have in our school that make Weatherstone such a unique and special place. Typically information tables are setup for each country present, shows and demos on the main stage, and crafts for kids to learn more about different cultures.
Chair time commitment: ~1-2 hours a week admin/emails for a few weeks leading up to the event, 2-4 hours the day before the event setting up, then an entire evening ie 4-8pm on the event evening which is typically in November.
Plans, publicizes, staffs, and executes an event to celebrate the various cultures in our school.
Recruit and coordinate with the families and teachers willing to participate to share food, artworks, cultural artifacts, dances, etc.
Recruit local businesses to do demos on stage.
Reach out to have WCPSS approved Food Trucks for dinner options for attendees.
A nationwide arts recognition program hosted by the National PTA to celebrate the voice and creativity of our children. Submission categories include Dance Choreography, Film Production, Literature, Music Composition, Photography, and Visual Arts. Art is submitted to our committee in October, the winners are sent to Wake County, then the State and Finally National winners are announced in the Spring.
Chair time commitment: ~8 hours, primarily during the summer at home. Primary job is over by the end of October, then just an hour or so during Night of the Arts to prep and present awards prior to choral concert.
Review the NCPTA Reflections Art contest rules and categories attends 1 hour yearly required Zoom training
Registers our school on the County, State, and National Reflections websites and ensures treasurer has paid our dues for participating in this program.
Creates promotion for Givebacks, social media, PTA newsletter, EE and creates flyers distributed in teacher mailboxes for Friday folders
Collects finished artworks/submissions (typically the county provides a google form we copy and tailor to our school).
Assemble a committee to blindly judge artwork (only if more than 2 submissions in each category/division), submit winners to Wake County Program (online form).
At the conclusion of the contest, host an informal celebration for the students (and families), who submitted artwork--typically at Night of the Arts--trophys available on the National PTA website and covered by Reflections budget.
Chair time commitment: ~1-3 hours per week, timing flexible and at home.
Check email/website often to upload and create content of events on Weatherstone PTA Facebook, Twitter, and Instagram accounts.
Chair time commitment: ~1-2 hours per week throughout the year, all done at home.
Develop and maintain content for WES PTA website
Frequently checks email to upload time sensitive documents, events, and other flyers from PTA members, teachers, and board of directors.
Maintains PTA calendar of events for the website.
*website experience NOT required at all, just a good eye for detail.
Spirit nights are passive fundraisers and school spirit boosters, where businesses give back a portion 10-25% of the business we bring in. Traditionally held in restaurants, but sometimes other activities like trampoline parks or rock climbing.
Chair time commitment: ~8 hours during summer, if setting up nights ahead of time. Then 1-3 hours a month at school copying, cutting, and distributing flyers (timing flexible).
Contact local restaurants and other businesses to set up spirit nights (one to two per month), often can be done online without calling or emailing the business.
Creates promotion for Givebacks, social media, PTA newsletter and EE. Businesses often give you a personalized flyer to distribute.
Copy flyer and distribute to teacher mailboxes to go home with students.
Follow up with business/restaurant for payment of donation to PTA via PTA Treasurer. Very rare that you have to reach out to remind them of payment.
Work with the Yearbook Teacher Lead to create the year's yearbook layout.
Chair time commitment: ~yearlong, heaviest toward the end of the school year)
Take, solicit, and compile photos of school events throughout the year.
Use the Jostens software to design the annual yearbook, knowledge of photography is a plus, but not required.
Check and double check spelling of names
Meet deadlines provided by Jostens, advertise and promote the sale of the yearbook and help distribute yearbooks upon arrival in June.
5th grade is a unique elementary school year. In order to send our 5th Graders off to middle school in style, there are many activities throughout the year.
Chair time commitment: ~4-5 hours per month year long.
Plans and executes certain fifth grade activities including ice cream party (or equivalent), fifth grade field trip, fifth grade gift to the school, fifth grade shirts, fifth grade yearbook signing, and fifth grade break out sessions for kids to meet other kids going to their specific middle school the following year.
Coordinates closely with fifth grade teachers throughout the year.
Updates fifth grade parents and coordinates donations from each family to pay for events throughout the year. While this group does fall under the PTA it is entirely paid for by 5th grade parents each year, not by general PTA funds.
Plans and executes the fifth grade graduation ceremony including slide show, commencement speakers, snacks, and non 5th grade volunteers for the day of.
This is a group run committee comprised of 5th grade parents and caregivers, the more volunteers the easier the jobs.
This Fundraiser is Weatherstone's biggest of the year. A week of team building, classroom goals and fun, ending in a fun run on the track and hopefully a sliming of the Principle if we meet our fundraising goals. We currently use a company called BOOSTER that provides the main structure and staff for the event. The chair will be responsible for being the liason between Booster and the school.
Chair time commitment: ~15-20 hours during the week preceding, week of and week after Booster (now a Fall event end of Sept/beginning of October).
Coordinate and plan with Booster and the WES administration/staff, the promotion and execution of the in school events prior to the fun run day itself
Work with the PTA Treasurer on the fiscal side of this fundraiser
Follow up with WES staff, and the PTA Board of Directors to examine and discuss how the event went overall; cons vs. pros
Work with PTA President and WES administration to negotiate and approve next fun run contract and tentative date.
Help distrubute prizes to classrooms after the event is over.
Wednesday mornings from 8:15-8:45 a.m. meet up on the track to walk, jog, or run. The goal is to have enough laps by the end of the year to total to 26.2 miles! Participation is open to all grades. Please note Kinder and 1st grade parents must stay with their children.
Chair time commitment: ~1 hour a week, typically help Wednesday before school. Currently there are two Co-Chairs that share the commitment.
Communicate via email with parents if cancellations due to weather
Volunteers can help kids track their laps
Organize beginning of the year communication around sign-ups/waivers
Popsicles to celebrate the end of the year achievements!
Exactly what it sounds like. This committee works to create unique shirts and other items for our familes and teachers to show their school spirit each year!
Chair time commitment: ~12-16 hours total during the summer primarily online and at home doing new school designs, vendor orders etc. 3-4 hours during the year for communication of events and newsletter writing, 8-12 hours through the year selling spiritwear at various events.
Work with vendors to create designs and present to the PTA Board for approval.
Advertise spirit wear sales for both in-person opportunities and online (QR code, website, etc.)
Distribute spirit wear accordingly if needed, currently moving to a more online ordering system.
Responsible for sourcing and coordinating sponsorship efforts for the PTA. In addition, looking for possible grants or smaller donations for silent auctions etc.
Chair time commitment: ~(yearlong, heaviest summer and beginning of year)
Creates a set of documents to be used to solicit corporate sponsors .
Ensures the donors are recognized (i.e. event banners, t-shirt logos, website, EE, other advertisement opportunities) .
Ensures tax donation letters are sent from PTA Treasurer
Solicits community sponsors; coordinates and ensures benefits are received
Helps PTA event/committee chairs secure sponsors for the big fundraising events if needed ie Booster shirts, STEM silent auction.
Research other sponsorship/fundraising opportunities as needed.
Work with Spirit Night Committee for joint opportunities
STEM Night is our annual night to showcase Weatherstone's STEM grade level activities, give kids exposure to local businesses that are in STEM fields, and bring in local vendors that provide interactive opportunities for familes. Additionally it is the night of our silent auction!
Chair time commitment: ~1 night, ends in February
Create STEM Land showcase of WES STEM activities.
Assist each WES grade level with event creation that will happen in the week prior.
Research and invite, local school clubs and businesses to participate and set up demos and interactive learning opportunities.
Work with the Sponsorship Committee to ask area businesses to sponsor silent auction items and list items on Givebacks.
Reach out to have WCPSS approved Food Trucks for dinner options for attendees
The same scholastic book fairs you remember as a kid. All proceeds get put directly back into our library in the form of new books for our kids. A love of books is generally recommended :)
Chair time commitment: ~7 hours a day during the week of each fair. Heavy time committement during the week in Fall and the week in Spring, otherwise nothing during the down time between.
Works in cooperation with the Media Center Specialist to coordinate two Scholastic book fairs, one in the Fall and one in the Spring
Responsible for organizing volunteers for set up, break down, and working registers during the books fair(s).
Help advertise special events like family buy nights and Dudes with Donuts for kinder kids to come buy with a special guy in their lives.
Help distrubute flyers and class buy time schedules.
Maintains banks deposits, cash register monies, and any other fiscal requirements with PTA Treasurer
Helps the Media Center Specialist with decorating for the Book Fair
*NOTE: Time commitment is significant for the 2+ weeks for each book fair, the chair is typically present each day from 8:30-3:45 during the buy weeks.
The Hospitality committee is responsible for all our teacher appreciation events, including back to school breakfast, holiday luncheon, staff snack carts throughout the year and teacher appreciation week!

Solicit food and beverages in-kind donations or discounts for events from local businesses.

Plans and executes a Welcome Back to School Breakfast in September Holiday Luncheon in December and Staff Appreciation Week in May.
