2017-18 WES PTA Volunteer Open Positions

Dear Weatherstone Families,

Thank you for your support of the WES PTA this year!  Our PTA is dedicated to supporting our students and teachers through a variety of programs and events.  We are able to do all of this because of our aWESome volunteers.  In preparation for next school year, we are looking to fill all of our open positions by May 2017.

We have four PTA Board member positions that are elected by the PTA membership at the last General PTA meeting of the school year: President, Vice President, Secretary, and Treasurer.  These positions begin on July 1 and end on June 30 and a person may serve only two consecutive full terms in the same office and they must be a member of the PTA.

Standing Committees Chairs (work occurs throughout the school year and are part of the PTA Board) and Special Committee Chairs (works occurs for a short period of time) are approved by the PTA Board.  Chair positions can also be shared with another PTA member and all Committee Chair positions must be held be PTA members.  Committee Chairs can recruit volunteers for their committee.

We are looking to fill the following positions for the 2017-18 school year and many of these positions work well with a Co-Chair.  Please contact Carin Scott at carinscott.pta@gmail.com or the current committee chair to volunteer for a position or for more information about any of these positions.

ELECTED POSITIONS

Secretary: The Secretary is responsible for keeping all the important documents of the PTA such as the roster, insurance policies, contracts, minutes, audit reports, and tax returns.  The secretary takes minutes of all meetings, gets them to the board promptly, and is responsible for maintaining the PTA calendar.  Secretary records need to be neatly organized and ready to view at all times.

Treasurer: The Treasurer deposits funds and writes checks for PTA expenses. The treasurer maintains all financial records of income and expenses in Quickbooks and meets with the audit committee for a monthly review of bank statements. The treasurer presents a financial report of income and expenses at board meetings and general meetings, pays dues to the NCPTA, prepares a year-end financial report, and facilitates the filing of all tax forms. No accounting experience is needed, but organizational skills are key.

STANDING COMMITTEES

Advocacy Chair Committee:  The advocacy chair works to inform the membership about education issues and NCPTA legislative goals.

Audit Committee (3 members) Reviews bank statements with the Treasurer on a monthly basis.

Cultural Arts Chair:  The United Arts Council offers enrichment programs in music, dance, literature, and visual arts to enhance the learning experience of students.  The Chair works to bring a variety of artists to WES in coordination with WES administration and the United Arts Council and coordinates volunteers to host the artists.  In order to receive United Arts grant money, the Chair (or another appointed individual; teacher or another PTA representative) is required to attend a training workshop (one of three offered in early August) and a Cultural Arts Booking Fair (a Saturday in mid-August).

Family Nights Chair:  Works closely with the Hospitality Committee to organize WES family nights, one per semester.  Example:  Skate Night at Jelly Beans

Garden Team Chair:  Will lead the garden team to work on WES gardening goals.  Coordinate volunteers to weed, spread mulch, remove leaves in parking areas, and remove high maintenance plants to be replaced by easy care plants.

Health & Wellness Committee:  The Chair works with the committee to improve the physical and mental well-being of staff, students and families within the greater Weatherstone Elementary School community.

Membership Chair: The membership chair will be responsible for building our PTA membership base at the start of the school year with a themed membership drive for parents & staff.  Chair is responsible for entering membership information into the NCPTA database, printing/distributing membership cards as well as keeping a current roster.  Because membership dues are involved, completing timely membership deposits for the Treasurer are required.

Nominating Committee (3 members):  A Nominating Committee is required by the NCPTA By-Laws in order to help fill vacant positions for the next school year.

Reflections Chair: This program is a local, state, and national arts competition.  The program encourages students to create works of art in a variety of areas.  The chair plans and coordinates all activities associated with this program such as publicity, judging, awards ceremony, and sending the winning entries to the county competition.

Room Parent Coordinator Chair: Chair is a resource for new and seasoned Room Parents.  Chair provides Room Parent and Volunteer sign up sheets for teachers at the beginning of the school year and collects contact information for Room Parents and Pamper Me forms for teachers.  By the end of October, provide a Room Parent training session and collect Pamper Me forms from teachers.  Work with website Chair to upload Pamper Me forms to website.

Spotlight Volunteer Chair:  Presents spotlight volunteer nominations to PTA Board and writes Spotlight Volunteer article for the Explorer Express and PTA website.

SPRUCE Committee Chair: Arrange two campus clean up days per school year with the Town of Cary SPRUCE Program and coordinate volunteers.

Website:  Update and maintain the PTA website including announcements and sign ups with input from the PTA Board.  The PTA’s website is currently using WordPress.

Yearbook Chair: Coordinates volunteers to take pictures during school events for the yearbook and helps with the organization of the content.

SPECIAL COMMITTEES

Book Fair (Co-Chair):  Works with the Media Specialist, Ms. Whalen, to put on the book fair, coordinate volunteers, and collect money.  Also, plan a book fair family night.

Fifth Grade Activities Chair: This Chair will organize 5th grade activities including the 5th grade recognition ceremony, the class gift, a service project, and a class picnic.

Information Sign Chair:  The Chair changes the main information sign outside the front of the school.  It is based on the school calendar and typically requires two volunteers.

Nationally, the PTA is the largest and oldest volunteer organization working exclusively on behalf of children and youth. Volunteer Registration Reminders
As a reminder the volunteer renewal process is open only on Mondays.  If you are new to WCPSS, a volunteer application must be completed for any family member who wishes to chaperone on a field trip or who are working with students out of sight of staff members.  This form must be completed on a WCPSS computer.
